The Opportunity

Based in Birmingham, we are offering an exciting opportunity for a Front of House & Facilities Management Assistant to join our Workplace Facilities Management Team. This pivotal role will have a significant impact on both external and internal clients, ensuring a seamless visitor experience within our office environment. You will provide a professional ‘front of house’ service to visitors and staff, while also supporting with administrative tasks and, in certain locations, elements of Workplace and Facilities Management duties. This position will allow you to build strong relationships across all business teams, external contacts, and gain valuable knowledge of Arup’s systems and procedures, becoming an integral member of the team.

You will be the first point of contact for visitors and staff, ensuring a welcoming and professional atmosphere. Key Responsibilities

  • Deliver a professional front-of-house service by welcoming visitors, managing reception duties, and ensuring Health & Safety procedures are communicated.

  • Coordinate meeting rooms, refreshments, AV/IT support, and catering to ensure smooth operations and excellent client experience.

  • Manage incoming and outgoing mail, courier services, and general office supplies, including stationery.

  • Handle telephone calls, take accurate messages, and assist with queries in a proactive and efficient manner.

  • Support administrative tasks such as data input, document management, and reporting office maintenance issues.

  • Assist colleagues within the Workplace and Facilities Management team, including First Aid and Fire Marshal responsibilities.

Key Skills and Experience Required

  • Strong customer service and communication skills.

  • Proficiency with MS Office Suite.

  • Flexible, cooperative, and approachable manner.

  • High attention to detail and diligence.

  • Positive, proactive “can-do” attitude.

Desirable Skills and Experience

  • Experience with booking systems (Concur, CAFM, Condeco).

  • First Aid & Fire Marshal trained, or willingness to train.

  • IOSH Managing Safely qualification, or willingness to obtain.

  • Manual handling training (provided).
