The Opportunity

Arup are seeking an Accounts Payable Assistant to join our dynamic and friendly team in Newcastle, UK, reporting to the Accounts Payable Supervisor for day‑to‑day activities. This role involves close collaboration across the Finance function, supporting accurate, timely and compliant financial processing.

The key purpose of the Accounts Payable Assistant is to check the validity of staff expense claims and supplier invoices ensuring that they are authorised in accordance with company policy, are compliant with tax and VAT regulations, categorised and coded correctly. To ensure staff and suppliers are paid within company policy guidelines via weekly BACS. To reconcile supplier statements and to resolve any associated queries. To prepare and process journals as and when required. To assist with other associated administrative tasks when necessary.

Key Responsibilities Include:

  • Processing and posting supplier invoices
  • Processing and auditing employee expenses
  • Ensuring strict adherence to VAT and tax regulations
  • Responding to internal and external queries (written and verbal)
  • Handling inbound calls for the Accounts Payable function
  • Reconciling supplier statements
  • Posting journal entries
  • Setting up and maintaining supplier and employee records within the finance system
  • Supporting ad‑hoc administrative tasks as required

  • Previous Purchase Ledger / Accounts Payable experience
  • Strong transactional processing and data entry skills
