The job holder will be proactive in interacting with other functional areas within MSS to ensure that the information/data flow between areas is maintained. The jobholder will also assist in maintaining and performing the daily administration and reporting requirements.
The role involves contact with clients; internal and other external parties such as auditors and trustees and all such communication must be conducted in a client friendly manner to project a professional image in the marketplace.
Key Skills
- A working understanding of Non-Discretionary Dealing processes.
- An understanding of Box Management processes.
- An understanding of specific journals and creation/cancellation process.
- Investigating exceptions to Cash Allocation, Rebalancing and Order Management process.
- Consistently working accurately in a time pressure environment.
- Effective management and prioritisation of workload and contribute to team organisation of administration tasks.
- To communicate effectively with internal Operation teams with regards to queries.
- Ability to work independently as well as part of a team.
- Assist the Senior Administrator to fulfil the daily/weekly/monthly processes accurately and within timescale.
- Ensuring best practice is followed on an individual and team basis.
- Participate in the culture of ongoing process enhancements and reviews.
- Assist with keeping procedure notes in line with current practices.
- Assist with retrieving audit requirements.
- An understanding of daily/weekly/monthly reporting requirements and ensure that they are reported in line with KPI’s.
- Is aware of the Operational Risk scenario associated with the role and acts in a manner that takes account of operational risk considerations, as well as having an excellent knowledge of the FIM.
- Maintains HSBC internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators.
- Understands, follows and demonstrates compliance with all relevant internal and external rules, regulations and procedures that apply to the conduct of the business in which the jobholder is involved, specifically Internal Controls and any Compliance policy including, inter alia, the Group Compliance policy.
- Assists the senior administrator(s) by ensuring that the team tasks are completed respectively for the Non-Discretionary Dealing service to Investment Administration clients
- Deals with internal contacts and is responsible for ensuring that all relevant issues are escalated or resolved within agreed procedures/guidelines. Any queries on policy must be escalated to the Head of Accounting & Valuations.
