As an Executive Administrative Assistant in our team, you will provide high-quality administrative support to senior leaders and their teams. You will manage multiple priorities, build strong relationships across the organization, and help ensure the smooth day-to-day running of business activities. Working in a collaborative and fast-paced environment, you will play an important role in enabling effective communication, coordination, and execution.

Job Responsibilities

  • Manage complex and detailed calendars.
  • Coordinate internal and external meetings, including logistics and scheduling.
  • Arrange domestic and international travel and prepare detailed itineraries.
  • Organize offsite conferences and events, including catering and transportation.
  • Process invoices and expense claims in accordance with firm policies and procedures.
  • Support employee onboarding and offboarding activities, including equipment and system access requests.
  • Produce high-quality written communications for stakeholders at all levels.
  • Maintain organizational charts, executive biographies, and related documentation.
  • Prepare, edit, and format spreadsheets, presentations, and other business materials.
  • Collaborate with administrative colleagues and support ad hoc projects and initiatives.
  • Utilize digital productivity, automation, and AI-enabled tools to improve efficiency, support administrative processes, and enhance the quality and accuracy of deliverables.

Required Qualifications, Capabilities, and Skills

  • Experience providing administrative support in a corporate environment and partnering with senior stakeholders.
  • Advanced organizational and prioritization skills.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong interpersonal, verbal, and written communication skills.
  • Proficiency in Microsoft Office applications, including Outlook, Excel, PowerPoint, and Word, with the ability and willingness to adopt new technologies, AI-enabled tools, and digital productivity solutions.
  • Ability to manage competing priorities and adapt to changing business needs.
  • Strong attention to detail and commitment to delivering accurate, high-quality work.
  • Ability to build effective working relationships with stakeholders across multiple levels of an organization.
  • Excellent problem-solving skills and proactive approach to managing tasks and deadlines.
  • Demonstrated curiosity and openness to learning emerging technologies, including artificial intelligence and automation tools, and applying them appropriately to enhance administrative effectiveness.

Preferred Qualifications, Capabilities, and Skills

  • Experience coordinating international travel and large-scale meetings or events.
  • Experience managing expenses, invoices, or related administrative processes.
  • College degree or equivalent qualification.
  • Experience working in a global and matrixed organization.
  • Experience using AI-enabled productivity tools (e.g., Microsoft Copilot or similar technologies) to support scheduling, communications, document preparation, data analysis, or workflow efficiency.
  • Strong digital literacy with an interest in leveraging new applications and technologies to continuously improve ways of working.
