As a Facility Lead professional within our UK Facilities & Real Estate team, you will play a central role in shaping the experience of everyone who walks through the doors of our Bristol office. Sitting at the forefront of our client‑centric journey, you’ll be the face of our Front of House (FoH) operation and a key contributor to the smooth running of one of our UK offices.
In this dynamic position, you will support a wide range of office, reception, and facility functions. From greeting visitors and managing reception services to coordinating mail, supporting meeting room readiness, and ensuring the overall organisation and appearance of the workplace, your work will help create a welcoming, efficient, and safe environment for staff and guests.
You’ll assist in facilities tasks such as maintaining office supplies, liaising with contractors, supporting health, safety, and sustainability initiatives, and responding to facility‑related needs across the office. You may also help with room setups, basic maintenance coordination, and general space management. The role can be fast‑paced at peak times - you’ll sometimes work alongside another colleague at the desk, and occasionally operate solo depending on business needs.
This is an office‑based role, supporting full‑time hours (40 hours per week, Monday to Friday). Physical activity is a routine part of the job - you will need to be comfortable lifting, bending, walking, climbing stairs, and sitting for extended periods at reception, aligned with UK HSE guidance.
Your contribution will directly enhance the day‑to‑day experience of employees and visitors while helping maintain an organised, safe, and client‑focused workplace.
Key Responsibilities also include:
- Ensure that office is provided with the equipment, supplies, and services necessary for daily operations.
- Partner with local office line of business leadership on office-related issues, and attend meetings as required.
- Manage office overhead budget and monitor the financial reports to ensure accuracy. Provide input to annual business planning as it relates to the local office. Ensure all required Real Estate Operations Finance reporting and reviews are completed. Timely communication on any significant variance to plan and necessary accruals or entries.
- Process invoices and charges related to local facility management.
- Communicate with office staff regarding any facility-related issues or information, in line with any corporate or legal guidelines or direction.
- Serve as onsite contact for building management and local vendors or service providers as appropriate. Manage any landlord, maintenance, or janitorial issues. Respond to requests for service or repair.
- Manage reception, mail and courier services, and offsite archive storage, where applicable.
- Review and understand local office lease and its’ terms and requirements (treat as a confidential document). Ensure all Real Estate related documents (including any landlord notices) are submitted to Lease Database Team.
- Support management of any sublease of local Jacobs office space.
- Utilization reporting.
- Assist in new starter induction (orientation) related to Health, Safety, and Environmental requirements. Provide information on local office. Assist with ergonomics requests, as needed.
- Provide support for Human Resources where requested.
- Accountable for the overall cleanliness, appearance, and functionality of the office.
- Provide support to IT for office-wide requests, as needed.
- Assist Global Security & Resilience, including ensuring the security of the physical office space in accordance with security guidelines; ID badge creation and recovery, access card and visitor management, communication regarding emergencies.
- Support local office Business Continuity Plan.
- Support office sustainability tasks and reporting, ensuring the generation of Office Sustainability Plan (and Office Environmental Action Plan, if applicable).
- Manage local offsite archiving (retrieval and collection) and destruction. Provide guidance to project managers on best practices for handling filing needs.
- Serve as onsite lead for physical changes within local office, completing tasks as part of facility project team. Coordinate furniture moves, reconfigurations, or installations as needed in partnership with Workplace team.
- Upkeep of all Facilities data for the local office in alignment with global requirements.
- Strong communication and interpersonal skills, with the confidence to engage with stakeholders at all levels.

- Previous experience in Facilities, Reception, Real Estate, or a similar operational support environment is desirable.
- Comfort using office systems and equipment, and confidence in supporting general facilities tasks.
- Ability to multitask, prioritise effectively, and maintain a well‑organised workspace.
- Strong customer‑service orientation, ensuring visitors and staff receive an excellent experience.
- Ability to carry out regular physical tasks, including lifting (in line with UK HSE guidance), bending, stooping, walking, climbing stairs, and sitting at the reception desk for long periods.
- Full onboarding and on‑the‑job training will be provided, focusing on practical experience rather than formal qualifications.
